Our mission is to transform the way small business owners work and live, bringing calm to the chaos so you can focus on what truly matters.
It’s easier said than done when you’re drowning in scattered systems, missed follow-ups and the constant juggle between growing a business and family life.
My name is Kylie – Fractional CMO, Journalist, Digital Marketing FANATIC, AI Nerd & Quirky Creative. I am also a Single Mum to two beautiful boys – Archie (7) and Riley (14).
And I know this chaos all too well.
As a single mum doing all the things, I live the daily hustle of having no one else to fall back on but me. The buck stops with me. Every decision, every crisis, every moment of need—it all lands on my shoulders.
My youngest, Archie, is also ASD Level 2, ADHD, PDA – and all the acronyms. 2024 was a tough year. I was getting called to the school everyday. He was lucky to last a few hours and only went a few days a week. Each phone call meant dropping everything—client calls, deadlines, income—to be there for my little boy who was struggling with the noise of a big scary world he didn’t understand.
This also meant every hour I wasn’t working, was an hour I wasn’t earning. Every emergency pickup was income lost. Every day I spent focusing on Archie’s needs was a day I couldn’t give my clients what they deserved.
Then came the proverbial straw that broke the camel’s back …
After months of meltdowns, with myself, teachers and specialists all desperately trying to support this little boy, the day came when an ambulance had to be called. Archie had become so dysregulated he was throwing chairs at the glass windows. As his class was evacuated, he was tripping kids as they ran past—completely lost in his own overwhelming world.
This wasn’t defiance. This was a little boy with so much noise in his head, crying out for help in the only way he knew how.
Something needed to change. There had to be a better way otherwise I was going to break and the boys would have no one.
Something had to give.
“You’re one decision away from a different life,” ~ Mel Robbins
As I sat in Emergency with a Social Worker who was more focused on assessing if “I” was coping rather than providing support for Archie, I realised if something was going to change, it had to be “me”.
Mel Robbins’ words echoed in my head: “You’re one decision away from a different life.”
I knew I was spreading myself thin. I knew I wasn’t showing up for my clients the way I wanted to. And I knew I needed to set better boundaries with my time.
I needed a solution that could help me streamline not just my business, but my clients’ businesses too. Instead of working in multiple CRMs, email marketing tools, and different software platforms for each client, what if there was one system that could handle everything?
What if I could actually set boundaries and automate the work I was giving away for free? What if my business could run efficiently enough that I could be fully present when Archie needed me, without sacrificing the quality of service my clients deserved?
Enter “HelloZen” – a complete business operating system born from desperation and designed for reality.
It was built because:
Your business needs to work around your life, not consume it entirely
You shouldn’t have to choose between being a good parent and being a successful business owner
Automation isn’t about removing the human touch—it’s about protecting your energy for what matters most
Every business owner deserves systems that support their success without sacrificing their sanity or their family
HelloZen was born from the belief that running a business shouldn’t mean living in chaos. It should mean creating the freedom to be present for what matters most—whether that’s being available when your child needs you, having energy left for family dinner, or simply having the mental space to be strategic rather than just reactive.
I learned the hard way that constantly saying yes to everyone else meant saying no to my son and myself. HelloZen helps business owners set healthy boundaries through automation and systems, so you can give your best to your clients without giving everything you have.
When you’re juggling school calls, client emergencies, and therapy appointments, complexity kills. Every feature we build passes the “3am emergency test” – if you need to use it when you’re stressed and exhausted, it has to be intuitive.
Some days Archie needs me more than others, and that’s okay. Our systems are built for real life – the beautiful, messy, unpredictable reality of running a business while caring for the people you love.
I used to think going above and beyond for every client made me a better business owner. I learned it made me a burnt-out mum who had nothing left to give anyone. HelloZen helps you deliver exceptional service within healthy boundaries.
Today, things are looking a little different AND most definitely a work in progress! I don’t claim to have it all worked out, I’m still fine-tuning my processes and I still have bad days. But every day is a small step forward in creating space and more ZEN in my life.
Every day, I see HelloZen users experiencing similar transformations:
I see clients who used to manage their businesses across five different platforms now running everything from one simple system.
I see business owners who used to work until midnight catching up on admin now having dinner with their families.
This is what ZEN looks like in business: systems that work so you don’t have to work so hard, boundaries that protect your energy so you can give your best to what matters most.
I know what it’s like to feel like you’re failing at everything because you’re trying to do everything.
I know the guilt of missing important moments because you’re drowning in deadlines, bills and client work.
And oh my gosh … I know the exhaustion of giving EVERYTHING to your business and having nothing left for yourself or your family.
Your chaos doesn’t have to be permanent. Your business CAN run smoothly. You CAN have both success and sanity.
And you ABSOLUTELY CAN build a business without sacrificing yourself.
Because every business owner deserves to breathe easy, be present, and build something beautiful—without sacrificing the people and moments that matter most.
And sometimes, the best business solution comes from the most impossible situations.
